Material and stock tracking for fiber installers
Drop cable is counted in metres and ONTs one by one, and both have a way of going missing between the depot and the customer’s home. FiberAdmin books every movement, from goods received to the last metre used, so the stock in the system matches the stock on the shelf.
Stock per depot, a record of every movement
Set up each depot with its address and keep separate stock in each one. Items have a SKU, a unit (metres, pieces, rolls, boxes and more), category, manufacturer, supplier, purchase price and minimum stock level. Every change is written to a movement history that can’t be edited afterwards: received, adjusted, reserved, handed out, returned, used, damaged, lost or transferred to another depot.
Reserved for the job, handed to the technician
When you create a work order, add the material it needs and it is reserved in the chosen depot, so the same cable isn’t promised to two jobs. Depot staff then hand it over to an assigned technician, who sees exactly what they are carrying in the materials tab of their app. Reservations that were never handed over are released automatically when the job is submitted.
Numbers that have to balance
To submit a job, the technician enters how much of each item was used, returned and damaged. The three must add up to what was handed over, or the job can’t be submitted. That one rule closes the usual gap between what left the depot and what the job reports, and it gives you real usage per job, per crew and per material in the reports.
Serial numbers and contractor-owned material
Turn on serial tracking for items such as ONTs, register one serial number per unit when stock arrives, and set each unit’s status as in stock, with a technician, installed, damaged or lost. An item can belong to your company or to a contractor and project, which matters when a telco supplies its own devices. Items at or below their minimum level are flagged in the inventory list and on the dashboard.
How it works
- 1Create your depots and import your material list from Excel.
- 2Book deliveries into a depot, with serial numbers where needed.
- 3Add the material to the work order when you create the job.
- 4Hand the reserved material to the technician doing the job.
- 5The technician reports used, returned and damaged; the job only submits when it balances.
Questions
Do you track stock in vans?
Stock is held per depot. Material handed to a technician is tracked against that person until it is used, returned or reported damaged, and each technician sees what they hold in their app. Vehicles are managed separately, with their plate, status and assigned crew.
Can I move stock between depots?
Yes. A transfer books the quantity out of one depot and into the other, and both sides appear in the movement history.
Will FiberAdmin warn me when stock is low?
Each item has a minimum stock level. When the available quantity drops to that level or below, the item is flagged in the inventory list and among the dashboard alerts. The “Risks & forecasts” page also estimates, from the last 30 days of use, which items are likely to run out soon.
Is the ONT serial on the job linked to stock automatically?
No. The technician types the ONT serial number into the completion form, and the status of serial-tracked units in stock is updated by the depot team. Both are kept, but they are not matched automatically.
